Banquet & Event Assistant
Job Summary: The Banquet and Events Assistant ensure the smooth coordination and execution of all client and hotel events. Key Responsibilities: · Assist in the planning and coordination of events, including timelines, room layouts, menu, décor, audio visual requirements, etc. · Conduct a pre-check of all items used to ensure they are up to standards, cleaned, properly placed and functional. · Set up or break down event spaces as per request, including materials, transporting supplies, taking orders, or similar as per brand standards. This includes interacting with guests/clients, monitoring event satisfaction scores, and providing solutions to any issues or sharing feedback with all required team members. · Coordinate with restaurant, kitchen, and all relevant departments as well as vendors to communicate event needs, ensuring all logistics are handled, request are met and executed accordingly. Communicate to appropriate team members on any delay, issues or similar that arises in a timely manner. · Support sales team in delivering quality events, managing guest list if needed. · Ensure inventory management of all hotel equipment, supplies are done regularly. Report any damages, malfunctions and servicing/replacement needs to management. · Ensure proper storage, care and maintenance of all event equipment and materials. Keep a log of all inventories and an organized filing of any event related documentation. · Participate actively in training sessions, team meetings, and continuous learning initiatives to enhance service standards. · Ensure security and confidentiality of all guests, client and hotel information. · Maintain full knowledge of hotel safety and emergency procedures. · Ensure compliance with all Aimbridge policies, brand standards and local operating procedures (SOPs and LSOPs). · Perform other duties as assigned by your immediate manager. Requirements · High school diploma, or equivalent. · 1-2 years’ experience in food and beverage, event planning and execution, customer service or related (hospitality experience is preferred) · Valid food handling certificate. • Knowledge of event set-up/breakdown, execution, logistics and inventory control. • Basic knowledge of food safety, hygiene and sanitation practices. • Excellent communication and interpersonal skills. • Strong customer service orientation and organizational skills. • Ability to multi-task and work efficiently in a fast-paced environment. • Positive attitude with a team-oriented approach. • Attention to detail and high level of integrity. • Ability to stand and move at a fast pace for long periods of time. • Ability to move/lift/carry/push/pull and place objects weighing less than or equal to 50 pounds without assistance.
