Group And Banquet Coordinator
Job Summary The Group and Banquet Coordinator is responsible for overseeing the planning, execution, and management of hotel events in accordance with the brand standards. This role is crucial in delivering memorable guest experiences and smooth execution of events. Key Responsibilities · Coordinate and fulfill the needs of clients to ensure a successful event. · Conduct pre-event meetings and/or event briefings with client and all relevant personnels. · Organizing event details, including timelines, themes, and guest lists, to meet client expectations. · Prepare, distribute, review and understand banquet event proposals, contracts, quotations, function sheets/BEOs, etc. · Liaise with kitchen, F&B, and other relevant departments to communicate event requirements. · Coordinate with catering, entertainment, and decoration vendors to guarantee quality services and on-time delivery. · Coordinate group arrivals and departures, room setups, menus, AV, menu presentation, timing of food services and any related special requests or venue arrangements. · Ensuring timely delivery and resolving any client complaints, last minute changes or issues. · Monitor service quality to meet client expectations. · Maintain a high level of service and hospitality standards. · Communicate guest feedback effectively to departments and management. · Ensure security and confidentiality of all guest and hotel information. · Ensure compliance with all Aimbridge policies, brand standards and local operating procedures (SOPs and LSOPs). · Perform other duties as assigned by your immediate manager. Requirements · High school diploma or associate degree in hospitality, event management, business administration or equivalent. · 2-3 years’ experience in banquets, events, catering or similar field. Hospitality experience is preferred. · Knowledge of hotel PMS and/ or event management systems. · Customer-oriented and strong organizational skills. · Ability to build strong relations with vendors and clients. · Must be able to multi-task and work effectively in a fast-paced environment. · Ability to be courteous and professional in any situation. · Strong communication and time management skills. · Attention to detail and high level of integrity.
